Privacy policy

Epik Systems Inc. (“Epik,” “us,” or  “we”) is committed to respecting the privacy rights of its visitors and users of the company website located at www.epik.ai (“the Site”). We created this website privacy policy (“Privacy Policy”) to give you confidence as you visit and use the Site, and to demonstrate our commitment to fair information practices and the protection of privacy. This Privacy Policy is only applicable to the Site, and not to any other websites that you may be able to access from the Site, each of which may have data collection, storage, and use practices and policies that differ materially from our Terms of Use and this Privacy Policy. You should review this Policy each time you visit our Site as we may update it from time to time without specific notice to you.

INFORMATION WE COLLECT

Personal Information

Personal information is information that you provide directly to us which identifies, or which could reasonably be used to identify or contact you personally. Personal Information does not include information that has been aggregated or made anonymous such that it can no longer be reasonably associated with a specific person or directly identify you.  The type of personal information we collect, and how we use it, varies depending upon the purpose for which you provide it.  Generally, you can visit our Site without revealing any personally identifiable information about yourself.  However, we collect personal information when you register to receive information, create an account, or engage us to provide services. The types of personal information we collect may include your name, company or affiliation, physical address, email address, telephone number, and user name and password. If you engage us to provide services, we may ask you to provide personal information about your credit card or other account information (e.g., credit card number, expiration date, CCV, and billing address) and share this information with Epik’s billing and payment processors. If you provide us feedback or contact us via e-mail, we will collect your name and e-mail address, as well as any other content included in the e-mail. If you apply for a job at Epik, we may require that you submit personal information such as a resume or curriculum vitae.

INFORMATION WE COLLECT

Non-Personal Information

When you use or access our Site, we collect information that is sent to us automatically by your web browser.  The information gathered and stored may include your Internet Protocol (IP) addresses, browser type, user agent type, internet service provider (ISP), operating system, date/time stamps, referral URL’s, the name of the domain from which you access the Internet, search terms, number of clicks, location of your server, pages viewed, language information, devise and application identification numbers, and operating system and system configuration information. We use this information to analyze trends and to administer and improve our Services. This information does not identify you personally. However, we may link information sent by your browser to information that identifies you personally.

Cookies

Cookies are small text files downloaded to your browser when you visit a website. We use cookies to understand and save your preferences for future visits. We do not utilize cookies to collect personal information.  We may use both session cookies (which expire once you close your web browser) and persistent cookies (which stay on your computer until you delete them) to provide you with a more personal and interactive experience when you use our Site.  Your web browser may allow you to delete, block or otherwise disable the use of cookies. However, if you delete, block or disable cookies, it may limit your use of certain features or functions on our Site.

Web Beacon

Epik may also utilize web beacons (which are also known as clear GIFs, web bugs, or pixel tags) to compile information to help us operate and improve our Site. Web beacons are electronic images that may be placed on a website or in an email or other type of message and are used to verify a user’s review or receipt of a webpage or message. They are often used in combination with cookies. Web beacons allow us to count users, deliver cookies, and to generate statistics about how our Site is used.

Flash Cookies

Epik may also utilize flash cookies (also called Local Shared Objects or “LSOs”).  A flash cookie is a small file stored on your computer by a website that uses Adobe’s Flash player technology. Flash cookies are different from browser cookies because of the amount and type of information collected, and how the data is stored. Third parties with whom Epik may partner with to provide certain features on our Site, may use flash cookies to collect and store information.  While browser cookies may be removed or blocked via web browser settings, flash cookies operate differently and cookie management tools provided by your browser will not remove flash cookies.

USE OF INFORMATION COLLECTED

We use the information we collect to provide and improve our Site, products and services. Examples of how we use the information include to:

  • Provide, maintain and improve our Site;

  • To display personalized advertisements to you and to send to you marketing communications about us, our products and our services;

Epik may share your personal information with third party vendors to help us provide, improve and protect our products and services.  Third party service providers help us with things like payment processing, data analysis, information technology and related infrastructure, customer service, professional or audit services or email delivery, among others.  These service providers are authorized to use your personal information only to perform tasks on our behalf in compliance with this Privacy Policy.

Affiliates

Epik may share your personal information with our parent companies, subsidiaries and/or affiliates. Epik will be responsible for the overall management and use of your personal information by these related entities.

Business Partners

From time to time, Epik may partner with other companies to jointly offer products or services. If you purchase or specifically express interest in a jointly-offered product or service from Epik, we may share your personal information with our joint promotion partners, once we have notified you of the personal information to be shared and obtained your consent to the sharing of the personal information. Epik does not control our business partners’ use of your personal information, and their use of such information will be in accordance with their own privacy policies.

Billing

Epik may use third-party service providers to manage credit card processing. These service providers are not permitted to store, retain, or use your personal information except for the sole purpose of providing credit card processing services on Epik’s behalf. Any personal information that is collected and processed by our third-party payment processor is subject to their privacy policy and practices.

Compelled Disclosure

Epik reserves the right to use or disclose your personal information if required by law or if we reasonably believe that such use or disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process.

Change of control

If Epik is involved in a merger, acquisition, dissolution or sale of all or a portion of its assets, we may share or transfer your personal information.   In that event, you will be notified via email and/or a prominent notice on our Site of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.

Consent

We may disclose your personal information for any purpose with your consent.

Aggregate and anonymous information

This Privacy Policy in no way restricts or limits our collection and use of aggregated or anonymized information that does not directly identify you with third parties.

Promotional Emails

If you no longer want to receive marketing-related emails from Epik, you can opt out by clicking “unsubscribe” in any marketing email communications we send you, or by sending an email to support@epik.ai. If you opt out, we may still send you non-promotional emails regarding your account or our ongoing business relationship.

Cookies

Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove or reject browser cookies. Please note that if you choose to remove or reject cookies, this could affect the availability and functionality of our Site.

Personal Information

At any time, you may request to review, correct or delete any personal information you have provided.  To review, correct, or update your personal information, please contact us at support@Epik.ai.  Be sure to indicate in your request what information you would like to have changed. We will try to comply with your request(s) as soon as reasonably practicable, consistent with applicable law.

Do Not Track

We do not currently respond to “Do Not Track” (“DNT”) signals sent by web browsers. A uniform standard has not yet been adopted to determine how DNT signals should be interpreted and what actions should be taken by websites and third parties that receive them.

SECURITY

The security of your information is important to us. Epik uses a variety of industry-standard security technologies and procedures to protect your information from loss, misuse and unauthorized access or disclosure.  However, no security measures are perfect, and we cannot assure you that personal information that we collect will never be accessed or used in an unauthorized way. If you have reason to believe that your interaction with us is no longer secure, please contact us immediately.

RETENTION

We will keep your information for as long as required to perform the purposes for which the data was collected or so long as we have a business purpose to do so and, thereafter, for no longer than is required or permitted by law. We will delete personal information within a reasonable time after the data is no longer necessary for the business purpose for which it was collected. We will, however, retain and use personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

TRANSFER OUTSIDE YOUR COUNTRY OF RESIDENCE

Epik is a global company and any information which we may collect may be stored and processed in our servers located in the United States or in any other country in which we maintain facilities.  By accessing our Site, you agree to the transfer of your information to the United States or to other countries that may not provide an equivalent level of privacy or data protection as your country. Regardless of where we store or process personal data pursuant to this Policy, we take measures to ensure that the data is processed in accordance with this Policy and in compliance with applicable law

Our Site may contain links to other websites. These third-party sites have separate and independent privacy policies and we encourage you to read their privacy policies to find out how they collect and process your personal information. We assume no responsibility for the policies or practices of such linked sites, and encourage you to become acquainted with them prior to use.

INFORMATION RELATING TO CHILDREN

Our Site is not targeted to children under the age of 16. We do not knowingly collect or solicit information from any child visiting our Site. If we become aware that such data has been collected, we will delete it.

CHANGES TO THIS PRIVACY POLICY

From time to time, Epik may update this Privacy Policy, so please check this page frequently for updates and changes. When we update this Privacy Policy, we will note the date of the most recent revision above. Your continued use of the Site signifies your acceptance to any change to this Privacy Policy.

CALIFORNIA CONSUMER PRIVACY ACT

If you are a California resident under the age of 18, and a registered user of any of the Site where this Privacy Policy is posted, California Business and Professions Code Section 22581 permits you to request and obtain removal of content or information you have publicly posted. As required by the California Consumer Privacy Act (“CCPA”), this Privacy Policy describes the categories of personal data collected, processed, and disclosed by Epik, the categories of sources for that data, and the business or commercial purposes for which that data is collected, processed, and disclosed.

In addition, under California law, you may have the right (up to two times in any 12-month period) to request more information about Epik’s collection, use, disclosure, and sale of personal data about you including:

  • The categories of personal data about you that we have collected in the preceding 12 months and the categories of sources of that information,

  • The categories of sources from which we have collected that information in the preceding 12 months,

  • The commercial or business reason(s) we have collected, used, disclosed, or sold that information, and

  • The categories of third parties to whom we have disclosed or sold that information in the preceding 12 months.

  • In addition, upon receipt of a verifiable request from you establishing your identity, you may have the right to know about the specific pieces of personal data that we have collected about you and/or shared with third parties in the preceding 12 months.

You may also have the right to request deletion of personal data about you that we have collected or maintain, which we will honor subject to certain limitations set forth in California law.
